01 // ONE PLATFORM, THREE APPS

The officer, the control room and the client — on the same record.

Every action an officer takes in the field lands in the back office the moment it happens, and the finished, approved record reaches your client without a single email attachment chased down by hand.

App 01Officers

Field app

Runs on Android as the RMFC Ops app, or in any phone browser. Built for gloved hands, night shifts and dead zones.

  • Clock in and out against the site geofence
  • Scan checkpoints by QR code, NFC tag or GPS
  • Answer dispatch calls with directions to the scene
  • Hold-to-send SOS and lone-worker check-ins
  • Incident reports and patrol logs with voice dictation
  • Visitors, equipment, maintenance and post orders
App 02Supervisors · Dispatch · Admin

Back office

The control room on a desktop or a wall screen. Each person sees only the pages their role allows.

  • Command dashboard refreshing every 15 seconds
  • Dispatch board, live map and shift trails
  • Weekly schedule, timesheets and payroll export
  • Report review: approve, return, re-open
  • Credentials, equipment register and visitor log
  • Clients, sites, roles, CRM and audit log
App 03Your clients

Client portal

Give every client a window into the work done on their sites — only the finished records you choose to share.

  • Approved incident reports and patrol logs, with PDFs
  • Hours on site, guard tour completion and scans
  • Visitor log and visitor pre-registration
  • Personal details removed from client copies
  • CSV exports for their own records
  • Every report a client opens is audit-logged
02 // THE SHIFT, END TO END

From the published schedule to the client's inbox.

One shift, followed from the first notification to the report that lands with the client — with nothing re-typed along the way.

01

Schedule & publish

Build the week by site or by person, copy last week, auto-fill open shifts and publish. Officers are notified in the app, by push and by email.

02

Clock in on site

GPS is checked against the site geofence. A daily shift report opens, live location starts and the hazard assessment comes due.

03

Patrol & prove it

Guard tours with QR, NFC or GPS checkpoints, checklists and photos. Missed or out-of-order scans raise alerts automatically.

04

Respond

Dispatch sends calls to the nearest free officer. Panic alerts and missed check-ins reach supervisors with position and battery.

05

Report

Incident reports and patrol logs, dictated by voice, GPS-pinned and auto-saved. Supervisors approve, return or re-open them.

06

Clock out & deliver

The daily shift report is emailed with its PDF at clock-out. Approved records appear in the client portal.

03 // MODULES

Twenty-two modules. One database. Zero double entry.

Every module shares the same people, sites, shifts and alerts — so a scan, a call or a report written in one place shows up everywhere it matters.

Command

Command dashboard

The live operational picture: officers on duty, open calls, panics, alerts, tours, coverage gaps and the last 12 hours of activity — built for a wall screen.

Command

Live map & shift trails

Every on-duty officer on the map with accuracy and battery level. Replay any shift: GPS route, clock-in and clock-out points and each checkpoint scan.

Command

Computer-aided dispatch

Four priority levels, officers ranked free-first then nearest, accept / en route / on scene / clear tracking, a full timeline and time-to-scene measured on every call.

Safety

Panic button & lone-worker

A two-second hold-to-send SOS that streams position every 20 seconds, alarm bar in the back office, "help is on the way" back to the officer, and automatic lone-worker check-in timers.

Command

Automated alerts

28 alert types raised by the platform itself — no-shows, missed tours, scans away from a checkpoint, overstays, overdue equipment, expired credentials — by email and push.

Field

Guard tours & checkpoints

QR, NFC or GPS checkpoints, ordered or free routes, interval or fixed-time schedules, yes/no checklists with photos, and daily scan deadlines. Copy-proof NTAG 424 DNA tag support.

Field

Hazard assessments (FLHA)

Your own yes/no questions at every clock-in, signed on screen. High and major hazards alert supervisors; a major hazard requires an incident report before clock-out.

People

Geofenced time & attendance

Clock-in checked against each site's geofence, breaks, flags for weak or missing GPS, late-clock-in locks, timesheet approval and a payroll-ready CSV export.

People

Scheduling & auto-fill

Weekly grid by site or person, copy last week, auto-fill open shifts under a weekly hours limit, open-shift requests, overlap and site-access checks, reminders two hours out.

People

Callouts & spare board

Fill a sick call in minutes: offer the shift to Level 1, then Level 2, by text, email and app — first to accept gets it. Reply YES or NO by text; removal rules keep the board honest.

People

Credentials & licensing

Security licences, first aid, AED and more, uploaded by officers and verified by HR. Reminders at 90, 60, 30 and 7 days; an expired required credential blocks scheduling.

Reporting

Daily shift reports

Built automatically through the shift — clock-in, FLHA, scans, patrol entries, notes and photos — then emailed with a PDF and annotated site plans at clock-out.

Reporting

Incident reports

A 17-section guided report with voice dictation, GPS pins, persons and vehicles with photos, evidence uploads up to 200 MB, linked reports for every officer involved and a review workflow.

Reporting

Patrol logs

Timed patrol entries with one-tap quick-add locations, weather, call sign, team lead and additional officers, an activity summary and PDF or email delivery.

Reporting

Synopsis & AI analysis

Period summaries of incidents by type, risk, action, officer and shift, as PDF or email. AI-assisted analysis of individual reports and patrol logs.

Site

Visitor management

Pre-registration with emailed access codes, walk-in sign-in, ID check, printable QR badges, host notification on arrival, refusals and overstay alerts.

Site

Equipment tracking

Radios, keys, access cards, vehicles and body cameras with QR asset labels. Sign-out, hand-over, return condition, repairs and losses — and alerts for anything kept past shift.

Site

Maintenance requests

Officers report broken doors, leaks or lights out with up to six photos. Urgent requests raise an alert; the officer is told when the job is done.

Site

Post orders & site guide

Per-site quick reference guides — opening, lockdown, contacts, floor plans — that officers can read even with no signal.

Clients

Client portal

Approved reports and logs, site activity, guard tour completion and the visitor log for each client — with personal details stripped from every client copy.

Business

CRM & pipeline

Accounts, contacts, follow-up reminders and a New / Quoted / Won / Lost pipeline. A won prospect becomes a client, ready for sites and portal access.

Compliance

Audit log, roles & export

A read-only record of who changed what, with old and new values. 70+ granular permissions, custom roles, and a full data export of your organization in one ZIP.

04 // BUILT FOR THE FIELD

No signal is not an excuse to lose a record.

Rural roads, parkades, bush trails and steel buildings. The field app keeps working, keeps the original time of every action, and sends it the moment a connection returns.

Offline-first

Clock-ins, scans, checklists, shift-report entries, incident reports and patrol logs queue on the phone and send in order with their original timestamps — applied once, never duplicated.

Native Android app

Background location with the screen off, a separate Urgent alerts channel for panics and emergency calls, NFC scanning and self-installing updates.

Speak, don't type

Live voice-to-text for incident narratives and patrol entries, so the report is written while the details are fresh.

Four languages

English, French, Spanish and Arabic (right-to-left), with automatic translation of officers' text for supervisors and clients — the original always kept.

05 // ACCOUNTABILITY BY DESIGN

Records that stand up when someone asks questions.

Funders, insurers, councils and courts want to know who was where, when, and who changed what afterwards. The platform answers without anyone digging.

LOG

Every change recorded

Sign-ins, report status changes, edits, exports and deletions are written to a read-only audit log with old and new values, IP address and browser.

GPS

Proof of presence

Clock-ins, scans, check-ins and report entries carry position and accuracy. Flags are recorded, never hidden — a clock-in outside the site is accepted and flagged for review.

424

Copy-proof checkpoints

NXP NTAG 424 DNA secure tags refuse copies and replayed scans. Scans made away from a checkpoint are flagged as a sign of a copied code.

2FA

Two-step sign-in

Authenticator app, text message or email codes, recovery codes and remembered devices — optional per person or required for everyone.

70+

Granular permissions

Ten built-in roles from field officer to payroll and billing, plus your own custom roles. People see only the pages and buttons their role allows.

ZIP

Your data, always

Export every record and stored file of your organization in one ZIP. Multi-organization installations keep each organization's data separate.

06 // CLIENT PORTAL

Show clients the work. Win the renewal.

Clients renew what they can see. The client portal shows hours on site, tours completed and reports filed — automatically, every day, without a monthly report to assemble.

  • Only approved incident reports and patrol logs are ever shown
  • Names, vehicles, GPS, use of force and media stay internal
  • Clients pre-register their own visitors with emailed access codes
  • You choose what each client sees, and preview it before they do

  • The field app on a phone, online and offline
  • Command, dispatch and the live map in the back office
  • Report review and the daily shift report PDF
  • The client portal, as your client would see it
  • A scoped proposal for your sites and headcount

09 // QUESTIONS

Before you ask.

The questions operations managers ask us first.

How is the platform priced?
Every deployment is scoped to the operation — the modules you use, the number of sites and officers, and whether you want white label. Book a walkthrough or email [email protected] and we'll come back with a proposal for your operation.
What devices do officers need?
An Android phone with the RMFC Ops app, or any modern phone browser. The Android app adds background location with the screen off, an urgent alerts channel, NFC checkpoint scanning and automatic updates. The back office runs in a desktop browser.
What happens when officers have no signal?
Clock-ins and clock-outs, hazard assessments, checkpoint scans and checklists, shift-report entries, maintenance requests, incident reports and patrol logs are saved on the phone and sent in order, with their original time and position, as soon as the connection is back. Each action is applied once, even if it is sent twice.
Can our clients see our reports?
Only what you choose to share, and only once it is approved. Client copies leave out personal details of people and vehicles, GPS positions, use of force, evidence, AI analysis and media. Every report or PDF a client opens is recorded in your audit log.
Can it carry our own brand?
Yes. With white label, your name, logo and colour replace RMFC's in the apps, emails and text messages, your logo can sit in the centre of printed checkpoint QR codes, and the apps can run at your own web address.
Does it fit how we already work?
Most of the platform is configured, not coded: your hazard questions, checkpoints and checklists, tours and schedules, report recipients per site, callout timings, credential types and reminder days, and roles with exactly the permissions you want. For needs beyond that, RMFC scopes custom work with you.
Can we get our data out?
Yes. A super administrator can download every record of the organization — one CSV per table plus all stored photos, media, documents and site plans — in a single ZIP at any time. Timesheets, visitor logs, equipment logs and site activity also export to CSV.
